A Guide To Your Next Creative Services Project At Florida State University

The following worksheet sketches out several steps to follow for each and every Creative Services project. The process is designed to make sure that, together, we deliver a successful project that not only enhances your goals, but also aligns with the Florida State brand.

Timeline Rule Of Thumb

Required timelines for developing communications will vary depending on the project, but it’s best to allow 2 - 4 weeks for basic projects* and 4 - 6 weeks for involved projects**. Keep in mind that the earlier you involve Creative Service in your project, the better we will be able to meet your needs!

Step-By-Step

  1. Initiate a Project
    Submit your project request at the University Communications website.
  2. Prepare for Creative Brief Meeting
    After submitting your project request, watch for an email from your Creative Services project lead. They will be your go-to communications contact during the project. Your project lead will coordinate a creative brief meeting date and time. All you need to do is decide which team members will attend and compile all your notes pertaining to this project.
  3. Attend Creative Brief Meeting
    Come prepared to discuss the project brief and dive into the nitty-gritty project details including the timeline, audience(s), workflow, resources, review process, measurement and future meetings.
  4. Stay In Touch
    While we work on your project, you will receive periodic updates from your project lead. Be sure to always inform your project lead ASAP of any changes to the project or timeline.
  5. Review Mock-Ups
    Your project lead will email you when a proof is ready - don't forget to fact check! If something needs tweaking, send a list of changes to your project lead.
  6. Give Stamp of Approval
    Final proofs will be emailed to you after the finishing touches have been made. Email project lead with your final approval.
  7. We’ve Got It From Here
    Once approved, Creative Services will provide you with press ready files to send to the printer. Your final items will be delivered directly to your attention.
  8. Feedback Time
    After the project, remember to take the satisfaction survey and let us know how we can improve the process. A link to the survey will be sent directly to your email.

* basic project = single printed piece or element (ex. a Facebook Cover photo)
** involved project = complete integrated marketing plan with multiple production pieces (ex. paid ads, postcards, Facebook profile pictures, etc.)
